Discontinuing Products
Synplex gives you two separate controls depending on what you want to stop:
| Goal | How |
|---|---|
| Stop replenishment suggestions for a variant at one or more locations | Set Procurement strategy → Not configured on the inventory level |
| Exclude a product from all metrics, reports, and recommendations entirely | Add an exclusion tag in Settings → Product exclusions |
| These are independent. You can do one, both, or neither. |
Option 1: Stop replenishment at a location
The Procurement strategy field on each inventory level controls whether Synplex generates replenishment suggestions for that variant at that location. Setting it to Not configured removes the variant from reorder recommendations, the Buy Now table, and PO suggestions — without touching any other data.
When to use this
- You're selling through remaining stock and don't want to reorder
- A product is discontinued at one warehouse but still active at others
- A seasonal product is going off-season
- You're pausing replenishment while resolving a supplier issue
How to do it
- Go to Inventory Report and click the variant you want to change
- On the variant detail page, select the Location configuration tab
- Click the location where you want to stop replenishment
- In the modal that opens, set Procurement strategy to Not configured
- Click Save — the change takes effect immediately
Repeat for each location where you want replenishment stopped. If you want to stop replenishment at all locations, update each one in turn.
What "Not configured" does and doesn't do
| Not configured | Purchase / Transfer / Produce | |
|---|---|---|
| Appears in reorder suggestions | ✗ | ✓ |
| Appears in Buy Now table | ✗ | ✓ |
| Included in stockout alerts | ✗ | ✓ |
| Still visible in Inventory Report | ✓ | ✓ |
| Stock level still tracked | ✓ | ✓ |
| Historical data preserved | ✓ | ✓ |
| Metrics recalculated daily | ✓ | ✓ |
| Setting a location to Not configured does not delete any data. You can reverse it at any time by setting the procurement strategy back to Purchase, Transfer, or Produce. |
Procurement strategy options
| Option | Use it when |
|---|---|
| Not configured | No replenishment needed at this location |
| Buy from supplier | Replenish by placing a purchase order |
| Transfer from location | Replenish by moving stock from another location |
| Make (production) | Replenish by manufacturing via a production order |
Option 2: Exclude a product from all metrics
If you want a product to disappear from Synplex entirely — no metrics, no reports, no suggestions at any location — add one of its Shopify product tags to the exclusion list.
This is the right option for products that should never appear anywhere in Synplex: gift cards, virtual items, internal-use products, or anything that isn't part of your replenishable inventory.
How to do it
- In Shopify, add a tag to the product you want to exclude (or use an existing tag — the tag just needs to be present on the product)
- In Synplex, go to Settings → Product exclusions tab
- Under Manage excluded products, type the tag into the Tag field and click Add
- The tag appears under Activated tags — any product in your Shopify store carrying that tag is now excluded
What exclusion does
- The product is excluded from all analytics, stock assessments, and reorder logic
- It no longer appears in the Inventory Report
- It is not included in demand forecasts or supply plans
- Historical data is retained but not surfaced in any reports
What Synplex already excludes automatically
You don't need to add tags for these — Synplex excludes them by default regardless:
- Products set up as bundles of other products in Shopify
- Products with inventory tracking disabled (typical for gift cards and virtual items)
Removing an exclusion
To bring a product back, either remove the tag from the product in Shopify, or delete the tag from the Activated tags list in Settings → Product exclusions. The product will reappear in Synplex on the next daily sync.
Choosing between the two options
| Situation | Recommended approach |
|---|---|
| Selling through last stock, don't want to reorder | Procurement strategy → Not configured |
| Seasonal product going off-season | Procurement strategy → Not configured |
| Supplier paused, will resume later | Procurement strategy → Not configured |
| Product discontinued at one location only | Procurement strategy → Not configured on that location |
| Gift card or virtual product that shouldn't be in Synplex | Exclusion tag |
| Internal-use SKU that isn't real inventory | Exclusion tag |
| Bundle that causes incorrect metrics | Exclusion tag |
| Want product completely invisible everywhere in Synplex | Exclusion tag |
