Configuring & Scheduling Reports

Every report in Synplex can be customized to fit your workflow. Set it and forget it—reports generate automatically on your schedule.


What You Can Configure

Any report can be customized:

Frequency
├─ Daily (every day at the same time)
├─ Weekly (specific day, e.g., every Monday)
├─ Monthly (specific date, e.g., 1st of month)
└─ Manual only (you generate when you want)

Schedule time
├─ What time? (e.g., 7:00 AM)
└─ What day? (if weekly or monthly)

Period (for some reports like Stockout Risk)
├─ How far ahead to look?
├─ Options: 7, 30, 60, or 90 days
└─ Example: "Next 30 days" for Stockout Risk

Email notifications
├─ Receive it automatically? (On/Off)
├─ Goes to your logged-in email by default
└─ Optional: Add custom recipients

Step-by-Step: Configure a Report

Step 1: Go to Reports Tab

  1. Open Synplex
  2. Click Reports tab

You'll see all available reports. Each shows:

  • Name (e.g., "Stockout Risk")
  • Next scheduled run
  • Frequency
  • Status (Active/Inactive)

Step 2: Select Report to Configure

Click the report name (e.g., "Stockout Risk Alert").

The report details page opens. You'll see the latest snapshot and options.


Step 3: Click "Edit" or "Configure"

Look for an Edit icon (pencil) or Configure button in the top right.

This opens the Report Configuration panel.


Step 4: Set Frequency

Choose how often this report runs:

Daily: ✓ Generate every day
Weekly: ✓ Generate every Monday (or your chosen day)
Monthly: ✓ Generate on 1st (or your chosen date)
Manual: ✓ Only when you click "Generate Report"

Example: For Stockout Risk, most teams use Weekly (Monday morning).


Step 5: Set Schedule Time

Specify the time the report should generate:

Time: 07:00 (7:00 AM)
Day (if weekly): Monday
Date (if monthly): 1st of month

Example: "Every Monday at 7:00 AM"

This ensures the report is ready when you wake up.


Step 6: Set Period (If Applicable)

Some reports have a Period parameter—how far ahead or back to look.

Stockout Risk: Choose your window:

7 days: Products running out in next week (urgent)
30 days: Products running out in next month (plan ahead)
60 days: Products running out in 2 months (long-term view)
90 days: Products running out in 3 months (early warning)

Example: For weekly planning meetings, use 30 days.


Step 7: Enable Email Notifications

Decide if you want the report emailed to you:

Email notifications: ☑ ON
├─ Goes to your logged-in email automatically
└─ Check when you see it in your inbox

Optional: Add other email recipients (separated by comma).

Recipients: you@company.com, buyer@company.com, finance@company.com

Step 8: Save

Click Save or Update Configuration.

The settings are now locked in. The report will generate on your schedule.


Example Walkthrough: Set Up Stockout Risk

Goal: Every Monday at 7 AM, get a Stockout Risk report for the next 30 days.

Step 1: Go to Reports → Stockout Risk
Step 2: Click Edit
Step 3: Frequency: Weekly
Step 4: Time: 07:00, Day: Monday
Step 5: Period: 30 days
Step 6: Email: ON (goes to your inbox)
Step 7: Save

Result:
└─ Every Monday 7 AM, new Stockout Risk (30 days) generates
└─ Email arrives in your inbox with snapshot
└─ Click link to view or export

Practical Tips

Tip 1: Stagger Reports

If you have many reports, spread them out:

Monday 7:00 AM: Stockout Risk (weekly replenishment planning)
Wednesday 9:00 AM: Dead Stock (overstock clearance)
Friday 5:00 PM: Inventory Health (end-of-week finance check)

This prevents report overload and matches your workflow rhythm.


Tip 2: Email vs. Login

With email notifications:

  • Report arrives in inbox → you don't have to remember to check
  • Good for: Weekly/monthly reports (summary-level)

Manual/on-demand:

  • You generate only when needed
  • Good for: Emergency checks (e.g., "Is this product still at risk?")

Best practice: Combine both. Schedule summary reports, generate urgent ones as needed.


Tip 3: Change Anytime

Don't like your settings? No problem.

Step 1: Go back to Reports tab
Step 2: Click the report name
Step 3: Edit
Step 4: Change frequency, time, period, etc.
Step 5: Save

Next scheduled run uses new settings.

Tip 4: Use Periods Strategically

Different periods serve different needs:

Daily standup (informal): 7-day Stockout Risk
Weekly planning meeting: 30-day Stockout Risk
Monthly board review: 90-day Stockout Risk + Inventory Health

Example: Three-Report Weekly Routine

Monday 7:00 AM: Stockout Risk (30 days)
└─ "What do we need to buy this week?"

Wednesday 2:00 PM: Dead Stock (90 days)
└─ "What should we clear or discontinue?"

Friday 4:00 PM: Inventory Health
└─ "What's our total inventory value? Any concerns?"

You get 3 snapshots, perfectly staggered.
